We are pleased to be recruiting for an Office Services Manager to manage delivery of robust and appropriate building and facilities services for all UK office buildings through directly employed co-workers and third parties.

Reporting to the Head of Operations (UK), you maintain and deliver appropriate strategies and action plans in respect of office occupancy requirements, health & safety and environmental management. Main areas of responsibility include to:

  • Prepare, develop and implement physical security policies and maintain access control system
  • Manage reception, inbound/outbound post, conference and event services (for internal and external customers)
  • Take overall responsibility for the quality, operation and day-to-day delivery of hard and soft FM services such as cleaning, pest control, utilities supply and waste management
  • Commission and supervise building repair, maintenance and improvement works
  • Be responsible for commercial combined insurance contracts in respect of all Triodos properties in the UK
  • Lead periodic occupancy review activities, engaging with internal stakeholders, to align service provision with future growth of the organisation
  • Primary contact point for building emergency & security issues (out of hours)
  • Deliver a comprehensive service covering all aspects of Health & Safety, inform co-workers of current good practice, ensure compliance with relevant legislation and minimise risk and costs to Triodos
  • Manage designated procurement contracts and monitor the performance of suppliers and contractors
  • Periodically undertake competitive re-tender of key contracts in Office Services department in line with Triodos Outsourcing and Procurement policies
  • Undertake (or delegate) the role of Local Environmental Manager and contribute to the development and implementation of group Environmental Management Policy
  • Ensure wide co-worker engagement on this topic through regular updates and oversee activities of the local Green Team 
  • Manage the provision of off-site workplace recovery premises in support of Triodos UK Business Continuity Strategy
  • Assist the Business Continuity Manager (BCM) in regular testing of offsite business continuity arrangements
  • Manage budgets relating to premises and office facilities management on behalf of the budget holder
  • Apply robust project management principles to delivery of major new services according to Triodos's agreed project management processes

To be successful in this role, you will possess a strong track record in building and facilities management, preferably across multiple geographic locations and servicing 100+ employees, with experience to include tendering for new services, managing supplier relationships and associated budgets. You will have a good working knowledge of best practice in the fields of process improvement, occupancy planning, health & safety and environmental management, preferably accompanied by direct responsibility for one or more of those fields in a previous appointment, as well as a track record in delivering change programmes supported by a good working knowledge of project management best practice.

In return for your commitment and hard work, you will receive a competitive basic of up to £40,000 depending on experience, plus a benefits package including:
